The IRO Handbook

If you're reading this, congratulations on your new role as IRO!

This page aims to be of help to local club IROs and national IROs. It will highlight the responsibilities of each respective role, as well as offer some helpful tips for hosting international guests on our islands.

National IRO Responsibilities

  1. Keep our RT Malta travel page up-to-date.

  2. Ensure that all IROs and local tablers are aware of all travel opportunities and ensure that AGM Exchange Agreements are filled. This responsibility is shared with the local club IROs too.

  3. Attend all National council meetings (~10 meetings per year).

  4. Attend the three yearly international tabling events; the RTI HYM, SEM & WM. If unable to attend, a replacement council member should be appointed for each event. Expenses for these events (excluding flights) must be logged and sent to the RT Malta treasurer and will be refunded.

  5. Ensure that tablers who travel are equipped with regalia, pins, gifts and merchandise for their trip. These should include:

    • Banners & gifts for the destination's council members (Minimum of 3 banners and 3 gifts - for President, IRO and convenor). If they are being home hosted, they should take an extra banner and gift for their host. Gifts can be anything you like, but normally a bottle of local booze does the trick!

    • RT Malta merchandise can be taken and sold for fundraising - contact the RT Malta shopkeeper.

    • Flyers to promote any upcoming events in Malta if available.

    • Optional but recommended: Pins for exchange! National pins and club pins can be purchased, and personal pins can also be designed and manufactured.

  6. Share information with local tablers about international fundraising schemes, projects and incentives which are posted into international Whatsapp groups and email distribution lists.

  7. Welcome, assist, and host international tablers who are visiting Malta. Throughout your year as NIRO, you will likely be contacted by international tablers visiting our island who are seeking help with their trip, and some local tabling experiences. These very often come with short notice and not much time to plan, so I would recommend taking a look at some Hosting Ideas.
    Pro-tips:

        • Plan a date/time to meet the visitors right away (the event itself can be decided after the appointment is locked in)

        • Inform all local tablers about the meeting

        • Act fast to gather maximum attendance from local tablers

        • Keep a note of all these events (along with some photos) and include this information in the NIRO report at our AGM.

  8. National AGM Preparations

    • Promote the RT Malta National AGM via all channels possible. Include all event details and (important!) a link to registration.

    • Organize home-hosting of incoming travel-exchange guests during our National AGM weekend.

    • Co-ordinate the meet-and-greet of foreign guests to our national AGM weekend. It is Table tradition that incoming tablers are met at the airport (with a cold beer) and given a lift to their accommodation.

    • Order and prepare banners for exchange during our National AGM. One banner for every international delegate (council member) should be prepared, and any visitors from our exchange agreement should also have a banner prepared, even if they are non-delegates. Banners should have a personalized message written on the back before the exchange.

    • Compile the annual National IRO Report which you will then present during the National AGM. This report should include:

        • A list of Exchange Agreements we currently hold with other associations. If you have information about next year's Exchange Agreement AGMs, include it too.

        • Information about the number of exchanges fulfilled this year, including names of Tablers who traveled, which destinations and some photos. It's a good idea to call up a guest speaker to recount their experience on the exchange.

        • Information about RTM's attendance during the Euromeetings 1, 2 and 3. Again, include names of Tablers who traveled, which destinations and some photos.

        • Information about RTM's attendance during RTI Events (HYM, SEM and WM) including names of Tablers who traveled, which destinations and some photos. It would be good to include any items of interest discussed during the RTI meetings.

        • Some personal notes about your experiences from your travels as NIRO.

        • Present information about next year's 3 International Events including Dates and Destinations. It's a good idea to also promote our Travel Calendar in your presentation to ensure all Tablers are aware of it and are using it.

        • A report of the international Tablers who visited Malta during your year (see point 7 above), including names of the incoming Tablers, some information about their visit and some photos.

        • Liaise with the National Treasurer to compile an IRO travel expense report, showing the costs you incurred during your travels to the 3 international events, also showing which expenses were refunded.

Local club IRO Responsibilities

  1. Ensure that your Table's members are aware of all travel opportunities and ensure that AGM Exchange Agreements are filled. This responsibility is shared with the national IRO too.

  2. Attend all your Table's council meetings (~12 meetings per year).

  3. Attend your Table number's yearly Euromeeting (Euro1, Euro2 or Euro3 respectively). This is a popular gathering of multiple countries Tables who have the same table number. These meetings are usually attended by 30-40 individuals from across the world and have grown to be the most close-knit international meetings. We should continue to strengthen and promote these meetings.

  4. Ensure that tablers who travel are equipped with regalia, pins, gifts and merchandise for their trip. Contact your National IRO if you are unsure where to acquire any of the below.
    These should include:
